Create and manage tagouts on work orders, assets, and functional locations

Introduction

Tagout is used to ensure that maintenance work can be carried out in a safe way. You can create tagout records and add work orders, functional locations, and assets to a tagout.

Setup for tagout is completed.

Create tagout

A tagout is a safety measure to ensure that maintenance work can be carried out in a safe way on machinery and other types of equipment.

Tagout examples:

  • Place barriers around a work area to restrict access
  • Block access to high-energy sources
  • Block access to spaces containing hazardous material
  • Mount signs around a work area to restrict access

In the Safe Work module, you can create a tagout and attach work orders, assets, and functional locations to it. You can attach

  • Active assets
  • Active functional locations
  • Active work orders with no Actual start date and time

A tagout can go through the following states:

Tagout status Description / related action
Requested New tagout that is not yet approved.
Awaiting tagout The tagout is approved.
Tagout active The tagout is mounted in the work area.
Pending tagout removal Actual end date and time is set on the attached work order.
Finished The tagout is removed from the work area.

You open a list to see all tagouts (Asset management > Safe Work > Tagout > All tagouts or Active tagouts), or on a Work order / Asset / Functional location list or card you select Safe Work > Tagouts to open the All tagouts list for the selected record.

Data Requirements

  1. Number sequence for tagout exists.
  2. Employees are set up in Asset management.
  3. Active work orders exist.

Expected

The user can create a tagout. A new tagout has status "Requested".

The user can add a work order to the tagout.

When a work order is added to the tagout, and the tagout is saved, the related asset and functional location are automatically added to the tagout.

Work orders and tagout

Use tagout on work orders to ensure that the maintenance jobs described in the work order can be completed in a safe work environment.

If you add new job to a work order that is already added to a tagout, the tagout is automatically updated with the asset and functional location selected on the new work order job.

Consider the following when working with tagouts on work orders:

  • If a work order is included in a tagout, you cannot start the work order until the related tagout has status "Tagout active". This status means that the safety measures described in the tagout have been applied to the work area.
  • You can only remove a work order from a tagout if the tagout has status "Requested".
  • If you remove a work order from a tagout, the tagout is automatically removed on the work order.

Approve tagout

When a tagout is created, it has staus "Requested". When you have added the required work orders or assets or functional locations, next step is to approve the tagout. After you have approved a tagout, you can no longer add work orders / assets / functional locations to it.

When a tagout is approved, it changes status to "Awaiting tagout".

When a tagout has status "Awaiting tagout", the only field you can update in the Tagout section is the Assigned to field.

  • On the tagout, select the Change worker assigned to button if you want to select another worker. In the dialog, select a worker and select OK.

When you have approved a tagout, next step is to mount the tagout to secure the work area prior to starting maintenance work.

Approving a tagout

Data Requirements

  1. At least one tagout record exists with work order / asset / functional location added.

  1. In Asset management, select Safe Work > Tagout > All tagouts or Active tagouts.

  2. Select the tagout.

  3. Select the Approve tagout button.

  4. In the Approve tagout dialog, select OK.

Expected

The user can approve a tagout.

Tagout status is updated to "Awaiting tagout".

Mount tagout

When a tagout has status "Awaiting tagout", it is ready to be mounted. This means that you physically set up or mount the tagout in or around the work area before the maintenance job is started.

In status "Awaiting tagout", the Tagged out and Current tagouts columns have been added in the Tagout Includes section.

  • Check box Tagged out is used when mounting a tagout (described in this article and the related test case).
  • If you see a number in the Current tagouts field, it means that the same asset or functional location is included in other active tagouts. This is useful information to let you know that, for example, the asset requires tagouts on other active work orders.

When the tagout is mounted, a maintenance worker can start work on the related work orders by setting Actual start date on those work orders.

On the tagout, next step is to update the tagout to show that it has been applied as described. Refer to the test case "Mounting a tagout" below for a step-by-step procedure.

Mounting a tagout

Data Requirements

  1. At least one tagout is in status "Awaiting tagout".

Steps 5

  1. In Asset management > Safe Work > select a All tagouts or Active tagouts list, or open the list from a work order / asset / functional location.

  2. Select a tagout.

  3. Select Edit.

  4. In the Tagout Includes section, select the Tagged out check boxes for the tagout types "Asset" and/or "Functional location", on which you have physically mounted a tagout.

  5. Confirm "Tagout completed" in the pop-up screen that opens.

Expected

Selected assets and functional locations are marked as "Tagged out".

In the Include details section, the Tagged out by and Tagged out fields are updated.

Remove tagout

When all work orders related to a tagout are marked as completed, meaning Actual end date is filled out on the work orders, the status on the related tagout is automatically updated to "Pending tagout removal".

Next step is to remove the tagout. This means you physically remove the tagout from the work area when it is no longer required.

Then, you are ready to update the tagout record to mark it as "Finished". Refer to the test case "Removing a tagout" below for a step-by-step procedure.

Removing a tagout

Data Requirements

  1. At least one tagout is in status "Pending tagout removal".

Steps 5

  1. In Asset management > Safe Work > select a All tagouts or Active tagouts list, or open the list from a work order / asset / functional location.

  2. Select a tagout.

  3. Select Edit.

  4. In the Tagout removed column, select the check boxes for the tagout types "Asset" and/or "Functional location", for which a work order is completed.

  5. Confirm "Remove tagout completed" in the pop-up screen that opens.

Expected

Tagout status is updated to "Finished".

Assets and functional locations are marked as "Tagout removed". Work order lifecycle state is shown as "Completed".

In the Include details section, the Tagout removed by and Removed fields are updated.

View event history

Use event history to get an overview of the changes made on a tagout.

  1. Open a list to see all tagouts (Asset management > Safe Work > Tagout > All tagouts or Active tagouts), or on a Work order / Asset / Functional location list or card, select Safe Work > Tagouts to open the All tagouts list for the selected record.
  2. Select a tagout and select Tagout event history to see the change log.
